The SCA is an organization run by volunteers. The events we enjoy would not be possible without them. As an Event Steward, it is your job to enlist some of those volunteers. Here are some tips to help engage potential volunteers:
- Put out notices on the Kingdom, Baronial, Shire, College, Household, etc lists.
Any lists that may have populace members that may be able to assist. Post this notice as soon as possible to give people as much notification as possible. This notice should include the day of the event and what type of help will be needed (include information on tasks that people can assist with both before and during the event).
- Notices are good but face-to-face requests are better.
Talk to your friends, your group's officers, etc. Let people know what type of assistance you need. Even if the people you talk to have other commitments and can't help, they may have some suggestions for people who may be available.
- Communication is key!
When people agree to help, get contact information for them and use it. Try to keep them informed of changes, updates, and any general information that may pertain to what they have agreed to assist with. People are usually OK with changes as long as they are kept in the loop as much as possible.
- If you give someone a lead position on a project, support them.
Check with them regularly and offer assistance and guidance as needed. Let them do their job as long as they are handling it competently. At the same time keep in mind that the event is the goal. Keep in touch with your project leads on a regular basis. This way you can rearrange things and assist with any problems that may come up.
- Make sure to show your gratitude.
As volunteers we don't get paid in money. However, making people feel appreciated is something that Event Stewards can do. Saying "Thank You" at the event, posting a notice on various lists, and going up and saying "Thank You" in person can put a smile on their face. Remember, they have given you their time and energy to help make your event successful. They will remember if you do, or do not. People will be more willing to help again in the future if they feel like you appreciated them in the past.
