When Crowns (King, Queen, Crown Prince, Crown Princess, Baron, Baroness) attend an event there are additional considerations the Event Steward must take into account. Many times the Crowns have private business they need to attend to, people to speak with, etc. Remember these people are "on stage" and very much in the public eye whenever they appear. Sometimes they just need a quiet place to regroup and catch their breath. If at all possible, it is advisable to supply a separate "ready room" for them.
For some events, such as Coronations, the ready room is not optional. You must take this into consideration when choosing and laying out a site. Try to find sites that have an extra classroom, dressing room, meeting room, or other space that can be utilized. When putting together a bid for a Kingdom level event, make sure to note in the bid whether a royal ready room will be provided and any additional cost. Try to have something to drink, as well as snacks if possible. Keep in mind that there will be a retinue accompanying the Crowns, so make sure there is enough for several people. If providing snacks, keep in mind that the Crowns will most likely be wearing fancy clothes. Try to keep foods to bite sized pieces that are not messy and are easy to eat. Barbeque ribs swimming in sauce is not the best choice! Also, sending Crown's home with food poisoning is not a good idea. Serve snacks that aren't going to go bad when sitting, or serve them in trays that will keep them at the proper temperature (ex: keep meats, butters, and cheeses on ice). Fruits, breads, nuts, crackers, cookies, and so on work well. And chocolate is always welcome. When speaking with their court representative you might want to ask if there is anything in particular that the Crowns might like or are allergic to.
Talking with Their Majesties directly may be a bit challenging as They have many demands on Their time. It is best to contact Their Crown Herald, Head Lady in Waiting, Royal Chatelaine, or Royal Steward. These people have regular contact with Their Majesties and should be able to let you know what Their Majesties will need from you and what Their plans are. A list of these people can be found off of the Kingdom page. Under the tab for “People” there is a listing for “Royalty”. Selecting the appropriate Royal couple will take you to Their webpage which has a contains a lot of useful information, including Their Royal Court and contact information for them, Their preferences for food and drink, and any allergies They may have.
The Court schedule is entirely at the word of the Crowns. You may get a schedule of planned start times however, be prepared to have these times change. Keep in contact with whomever Their representative is on site and be ready to shift things in order to accommodate any time changes They require.
The actual Court proceedings will be handled by the Crowns and Their personnel.
