Usually the person running Troll will be your group's Exchequer. If the Exchequer is unable to attend the event, they can appoint someone to take charge of it. This person must also be acceptable to your group's Seneschal. It is the responsibility of the person in charge of Troll to make sure that anyone manning the table is qualified and knows what to do. These qualifications can be found in the SCA Exchequer's Handbook - Local level (chapter 8, section V. A. 4. c.). Most importantly, those helping must be 15 years or older and be a paid member of the SCA.
An Event Steward is never to personally run a troll table or collect money for their event (as per Kingdom Financial Policy , section VI. H. 8).
There are several different types of waivers needed at an event. It is easier, but not required, to have each set of forms printed on a different colored paper for the troll table. It tends to make things easier for the people manning the troll table, and it also helps the Event Exchequer when counting up numbers and reconciling money after the event. Make sure that the person in charge of Troll for your event brings these forms with them. Most gentles who can run Troll are aware that these forms need to be used...but to be a diligent Event Steward, it is suggested that you double-check to make sure they are planning to do so.
There are two versions of this waiver that are typically used. The first version allows only one signature per page (individual). The second version (roster) allows 15 signatures per page. Generally, the roster version is used to cut down on the amount of paperwork. Check with your local Exchequer as a few groups have alternative forms they have developed.
It is generally a good idea to have two sets of adult waivers, each set on a different color paper. Mark each set clearly to make them easy to identify for both the people running Troll and the people coming through Troll. With two separate sets of adult waivers, Troll and the Exchequers can more easily tally up the number of attendees. One set should be marked clearly at the top in large letters "Non-Members". This set is signed by those who do not have proof of SCA membership, and are therefore charged the non-member surcharge. The second set should be clearly marked "Members". This second set is the most-used form, so make sure to have plenty of copies on hand. This set is to be signed by people who have proof of a current SCA membership (and are therefore not charged the non-member surcharge).

There are two versions of this waiver. The first version allows only one minor per page (individual). The second version (family) allow up to 5 minors with the same parent or legal guardian. The two versions can be used interchangeably. Generally, having a supply of the family version alone will be sufficient.

Whenever a child attends a SCA event without their parent or legal guardian, the person bringing the minor to the event must provide a completed copy of both of these forms. These forms MUST be signed by the minor's parent or legal guardian and notarized for the minor to be admitted to the event! This means that it is technically not necessary to supply these forms, although it doesn't hurt to have a few around in case someone arrives who needs one.
The Troll staff needs to be aware that these forms must be notarized. This is not SCA procedure; this is Arizona law. Anyone who attempts to bring a minor who is not their child, without properly signed and notarized forms, should be denied entrance to the event.
Note that there are two versions of the Medical Authorization for Minors on the SCA main website. The version given here has a space for notarization at the bottom; this is the version used in the United States. There is another version without space for notarization, which can be used outside the United States. Make sure that the correct version is being used.
These two forms empower the temporary guardian of the minor to sign the Minor's Consent to Participate and Hold Harmless Agreement just as if they were the minor's actual parent/legal guardian.
As per the Kingdom Youth Activities Guidelines the temporary guardian needs to bring two completed, notarized, copies of each form ( Temporary Guardianship Form - Arizona and the Medical Authorization for Minors ). One copy of each needs to be left at Troll when the temporary guardian and minor check into the event. This copy will be filed with the event waivers. The other copy must remain with the temporary guardian, so that they can demonstrate to medical or law enforcement personnel that they have the authority to make decisions for the minor in case something happens at the event.
This form will only be needed if you have equestrian activities at your event. This document contains instructions and waivers for all 50 states of the US. There is a specific waiver for the State of Arizona (page 4). If there are going to have equestrian activities at your event, coordinate with your local Equestrian Officer or the Kingdom Minister of Equestrian Arts and/or Kingdom Earl Marshal.

This form is used to account for the money in the troll box. At the beginning, sometime during, and at end of an event, the cash box should be counted and the Reconciliation form filled out. No longer than 5 hours should elapse between reconciliation's. This is to be done by the Event Steward, Group Seneschal, and group Exchequer (or someone they appoint that is acceptable to all). Please see the Exchequer's Handbook - Local(chapter 8: section V. A. 4. f.) for further details. Your group's Exchequer should have this form. In case they don't, they should contact the Kingdom Exchequer
