The events on the Kingdom Calendar for the next calendar year are set each May at the Kingdom Calendar meeting. This meeting is open to the populace. Kingdom Calendar Office

Because the calendar is so important and requires some effort to coordinate, the Kingdom has an officer dedicated to keeping it (as per Lex Atenveldtus sections IV. A. 1. b. 2. and IV. B. 2.b.). The Kingdom Calendar Officer is responsible for organizing, maintaining, and submitting for publication, an accurate calendar of Kingdom events. For this reason, any event article submissions for the Southwind must be sent to the Kingdom Calendar Officer in addition to the Kingdom Chronicler.

Kingdom Chronicler Office

The Kingdom Calendar Officer works closely with the Kingdom Chronicler. The Kingdom Chronicler is responsible for the publication of Southwind, which is the Kingdom newsletter. This includes publishing the Kingdom Calendar and properly submitted event articles. When corresponding with the Kingdom Calendar Officer regarding an event article or an event form submission, also contact the Kingdom Chronicler so they are aware of any issues.

How Events are Scheduled

Scheduling events on the Kingdom Calendar is the responsibility of the Kingdom Calendar Officer. Each year in May, usually on the same weekend as Coronation, a calendar meeting is held. All of the official groups in the Kingdom, the Kingdom Calendar officer, and the Kingdom Seneschal meet and negotiate the calendar for the following year. This meeting is run by the Kingdom Calendar Officer, who makes sure that all the events are scheduled in compliance with SCA rules and Kingdom treaties. Because the number of events exceed the number of available weekends, it is inevitable that some weekends will have more than one event. In these cases, the officers present at the calendar meeting try to schedule the events in such a way that the events are not in close proximity. The goal is that events should be held far enough away from one another that each event would not be affecting the attendance of the other. For example, the Calendar officers will try not to schedule a Twin Moons and a Sundragon event on the same weekend, but they may schedule a Burning Sands and a Mons Tonitrus event on the same weekend.

Types of Events on the Calendar

There are several different types of events going on around the Kingdom. For more detailed descriptions of each type, and what the requirements are for each type, please refer to the Guidelines For SCA Events Within the Kingdom of Atenveldt. Basically there are 4 types of Kingdom Calendar Events:

Locally Publicized Events vs Kingdom Calendar Events

Locally publicized events are different from Local Kingdom Calendar events in that locally publicized events ARE NOT listed on the Kingdom Calendar. Guild meetings, armor workshops, etc are examples of locally publicized meetings. Mid-East Feast (hosted by the Barony of Twin Moons in August) is an example of a local Kingdom Calendar event.

Official vs Unofficial Events

In order for an event to be "official", it must be sponsored by an officially recognized group (ie: Kingdom, Barony, Shire, College, etc), as well as publicized and conducted according to Society rules. Depending on the type of event depends on what type of business can be conducted. See Guidelines for SCA Events Within the Kingdom of Atenveldt or Lex Atenveldtus section VIII A - F for further details. An "official" event is covered under general SCA insurance; SCA funds can be used; and fees can be collected and deposited into an SCA account. Examples of official events are Kingdom calendar events, locally publicized events, populace meetings, officer meetings, fighter practices, etc.

An "unofficial" meeting may be publicized but is not conducted according to SCA guidelines or sponsored by an official group. These types of events would not be covered by SCA insurance, nor could SCA funds be distributed or collected. Examples of unofficial meetings are: open armoring workshops, guild meetings, household meetings, sewing get-togethers, etc.

Restrictions on the Timing of Events

According to Lex Atenveldtus section VIII. F., the first full weekend of every month is reserved for a Kingdom-level event. Local events cannot be scheduled on the first full weekend of each month unless both the Kingdom Seneschal and the Crown approve the event.

The Kingdom of Atenveldt also has signed treaties with other Kingdoms, in which Atenveldt pledges to put restrictions on which types of events are held during certain times of the year. This is to prevent conflicts with the events of other Kingdoms. In return, these Kingdoms make similar pledges not to conflict with Atenveldt events. For example, in a Treaty with the Kingdom of Caid, Atenveldt pledges not to hold any Aten-sponsored wars in the thirty days prior to, or thirty days following, Columbus Day weekend.

When scheduling a locally publicized populace event, Event Stewards should be careful not to schedule it on the same weekend as the spotlight event of another SCA group. The Guidelines for SCA Events Within the Kingdom of Atenveldt specifies that your local Seneschal and (if you live in a Barony) your Baron and Baroness should make sure that your event does not conflict with another group's spotlight event. You, as an Event Steward, should check for conflicts with spotlight events so that you don't waste everyone's time suggesting it. (Not to mention that attempting to schedule against another group's spotlight event is hardly a chivalrous thing to do!)
